Guidelines for Managing Appointments at Behavior and Beyond Dog Training

Introduction

At Behavior and Beyond Dog Training, we value the time and commitment of both our clients and our staff. As a small, appointment-based business, each scheduled session is reserved especially for you. When appointments are missed or changed with insufficient notice, it impacts not only our business but also prevents other clients from accessing our services. This policy outlines our approach to cancellations and rescheduling, ensuring fairness, transparency, and the highest standard of service for everyone.

Booking Appointments

All appointments can be booked through our website, by phone, or by email. Upon booking, clients will receive confirmation via email. To secure your desired date and time, we recommend booking as far in advance as possible.

  • Payment is required in full and up front for all lesson types and packages.

Notice Period

To cancel your appointment without penalty, we require at least 24 hours’ notice prior to your scheduled time. Cancellations can be made by phone, email, or through our online booking system. For certain services or high-demand periods, a longer notice period may be required; this will be communicated at the time of booking.

Late Cancellations

A cancellation is considered "late" when it is made less than 24 hours before the scheduled appointment. In such cases, there are two options:

  • We will make a good faith attempt to reschedule the appointment within a reasonable time with an added reschedule fee of $50

  • If we cannot come to an agreement on a reschedule appointment, the lesson will be forfeit and the client will not receive a refund

  • First-Time courtesy: As a courtesy, we may waive the cancellation fee for first-time late cancellations, but repeated occurrences will incur standard charges.

No-Shows

A “no-show” occurs when a client fails to attend their appointment without any prior notification. No-shows significantly disrupt our scheduling and service availability.

  • The missed lesson will not be eligible for a refund or rescheduling

  • Account Status: Multiple no-shows may result in suspension of booking privileges

How to Cancel

Clients can cancel their appointments by:

If you do not receive a cancellation confirmation within a few hours, please contact us to ensure your request was processed.

Reschedule Policy
Notice Period for Rescheduling

Rescheduling is permitted without penalty provided at least 24 hours’ notice is given. Requests to reschedule made after this period will be treated as late cancellations and will be subject to the terms above in the “Late Cancellations” section

How to Reschedule

To reschedule, please use the same methods as for cancellations (phone, email, online system). We will do our best to accommodate your new preferred time, but availability cannot be guaranteed.

Repeated Rescheduling

Frequent rescheduling (three or more times for the same appointment) may affect your ability to book future appointments, as it limits our ability to serve other clients fairly.

Exceptions and Emergencies

We understand that unforeseen circumstances can arise. If you are unable to attend your appointment due to illness, emergency, or other extenuating circumstances, please notify us as soon as possible. At our discretion, we may waive cancellation or rescheduling fees for genuine emergencies.

  • Medical emergencies: Medical emergencies that prevent one from attending a lesson or family medical emergencies

  • Severe weather or natural disasters: Cancellation fees will be waived if travel is unsafe or impossible due to weather or related emergencies.

Client Responsibility and Courtesy

We ask all clients to be mindful of appointment times and to provide timely notice if changes are needed. Your cooperation allows us to serve everyone more efficiently and ensures the best possible experience for all our clients.

  • Arrive 5 minutes before your scheduled time to allow for check-in procedures.

  • If you anticipate a delay, notify us as soon as possible. Arriving late may result in a shortened session, with the full fee still applicable.

Business Responsibility

At Behavior and Beyond Dog Training, we strive to respect our clients’ time as much as our own. In the rare event we must cancel or reschedule an appointment due to unforeseen circumstances (such as staff illness or medical emergency), we will:

  • Notify you as soon as possible by your preferred communication method.

  • Offer priority rebooking or alternative options when available.

  • Provide a full refund of any deposit or prepayment if we are unable to accommodate a suitable alternative.

Policy Updates

This policy may be updated occasionally to reflect changes in our business operations or local regulations. The latest version will always be available on our website or upon request. Clients will be notified of significant updates affecting their appointments.

Agreement and Acknowledgement
